Note:

There are two types of users within REVIEWS.ai.

The Admin User has full visibility to all products and users within their REVIEWS.ai account. There is only one Admin user per REVIEWS.ai account.

Standard Users are added to a REVIEWS.ai account by the Admin user. Standard users have product product management privileges or be set up with view only access.

Click USERS in the top banner, then select Manage Users to go to the Manage Users page. Here, you:

  1. Can see and search through all users in your REVIEWS.ai account

  2. Add users

  3. Edit user details, alert preferences and product visibility

  4. Remove users

To view and search the users in your account, start on the Manage Users page.

Each user is listed with their username, number of products they have granted access to view, department and number of logins.

The table is listed in order of users being added to the account with the most recently added user at the top.

To find a specific user, enter any part of their first or last name in the search bar, and click SEARCH.

To remove all search filters and view all users, click CLEAR.

Users can also be filtered by department. Select the department from the drop-down list and click SEARCH.

To add users to your account, start on the Manage Users page.

Click the “+” icon in the top right corner.

In the provided fields, enter their name, email, department, and set a a temporary account password.

Note that the user will be prompted to update the password if desired when logging in for the first time.

There are two levels of access you can grant a new user:

Product Management: The Standard User has granted access to add, edit and delete products and apps to the REVIEWS.ai account.

View Only: The Standard User has granted access to view all products and reports within REVIEWS.ai, but cannot add, edit or delete products.

If you’d like to grant Product Management access, check the box: Allow to Edit/Delete. Leaving this box unchecked will grant the user View Only access.

Next, select the user’s alert preferences by checking the desired alert email cadence and which types of content (reviews and Q&As) should be included.

Note, these alter preferences can be updated by the user after they login by clicking the Account icon.

Lastly, check the boxes of all brands this user will have access to see.

Note that only the admin user(s) can see ALL products. Any additional users added to your REVIEWS.ai account can only see products under the brands you grant them access to. When adding products XREF to the tool, product access can be branded on a per product basis if desired.

When finished, click ADD. The user is now added to your account.

WAIT! There is one more step for the new user to access their REVIEWS.ai account. You must email the user their login info.

To email login credentials directly to a user, click the Email icon next to the user’s name.

This will pop up an email window includes the user’s:

  • Username

  • Password

  • User autologin link

The autologin link can be bookmarked on the user’s preferred web browser for convenient access. The email also includes contact info for the REVIEWS.ai support team. Note that you can customize the body text of the email with a personalized message from you as desired.

Once ready to send, click SEND and the REVIEWS.ai system will deliver your email to the user’s email address listed at the bottom of the pop-up window.

To edit user details, alert preferences and product visibility, click the edit icon next to the user’s name.

Here you can

  • Update the name, email address, department and password for the user

  • Update emailed review alert report preferences

  • Update assigned brands visible to the user.

To save any changes made, click MAKE CHANGES.

To remove a user from your account, click the edit icon next to the user’s name.

Next, simply click the garbage can icon. A pop-up window will appear asking you to confirm user removal. Click OK and the user will be removed from your account.
